When your organization has connected Slack to Mentorly, you can receive your notifications as Slack direct messages instead of email. The choice is yours and applies only to your own account.

## How to choose Slack or Email

1. Open Mentorly and click your avatar or name to go to your **Settings**.
2. In the sidebar, select **Notifications**.
3. Choose **Slack** or **Email**.
4. Click **Save**.

Your next notification will arrive through the channel you picked.

**What is the default?** If Mentorly matched your account automatically (your Mentorly email and your Slack email are the same), you will start on Slack. If not, you will default to Email until you confirm your Slack email address (see the section below).

## What you will see in Slack

Mentorly sends you a direct message from the Mentorly bot. Booking request messages include buttons you can click without leaving Slack.

Here is an example of a booking request a mentor receives:

Click **Accept** and the message updates in place to confirm the booking. No browser tab needed.

Session reminder messages include **Confirm**, **Cancel**, and **Join Session** buttons. Clicking any of them records the action in Mentorly and updates the Slack message to show the result.

## My Mentorly email and Slack email are different

Mentorly finds you in Slack by matching your email address. If your Mentorly email is different from the one attached to your Slack account, you may not receive Slack messages automatically.

To fix this:

1. Go to **Settings > Notifications** in Mentorly.
2. Find the **Slack email** field.
3. Enter the email address you use in Slack.
4. Click **Save**.

Your next notification will arrive in Slack.

## Troubleshooting

**I clicked Accept but nothing happened.**
Your organization's Slack connection may have been turned off after that message was sent. Go into Mentorly and take the action there instead. It will work the same way.

**I am getting notifications in both Slack and email.**
Open **Settings > Notifications** and choose Slack explicitly. If your email addresses did not match when Slack was first connected, you may still be on Email as your default even though your organization has Slack active.

**I want only some notifications in Slack, not all of them.**
Today the setting is all-or-nothing per person. All your notifications go to Slack or all go to email. The ability to choose by notification type may come in a future update.

**Nothing is arriving in Slack at all.**
Check two things. First, confirm that your Slack email is correct in your **Settings > Notifications**. Second, if you recently stopped receiving Slack messages, your organization may have disconnected their Slack integration. Switch to Email in your settings so you do not miss anything, and reach out to your program manager if you are unsure.

When you join a mentorship program on Mentorly, you will be guided through a short set of profile questions before reaching your dashboard. This article explains what those questions are, why they matter, and how to update your answers later.

## Why you are asked questions

Your program has a profile questionnaire that helps two things happen well.

First, it helps you get a good match. Your answers give the program the information it needs to pair you with someone who fits your goals, experience, or background.

Second, it helps your mentor or mentee understand you. Some of your answers appear on your profile so your match can read them before your first conversation. This means you can spend less time on introductions and more time on what matters.

## Types of questions you might see

Your program manager chose which questions to include. The questions your program uses may vary, but here are the common formats:

- **Pick one option.** A list of choices where you select the one that fits best. For example, your department, region, or career level.
- **Pick several options.** A list where you can select all that apply. Skills, interests, or languages often appear this way.
- **Yes or no.** A simple toggle or checkbox.
- **A number.** For example, years of experience in your field.
- **A short written answer.** A text box where you type a few sentences. Your bio or goals might appear this way.

Some questions come from Mentorly (like your name or bio), and others are specific to your program.

## Required questions

Some questions are marked as required. You need to answer these before you can finish your profile and reach your dashboard.

Required questions are the ones your program relies on most, whether for matching or for giving your mentor or mentee a clear picture of who you are. If you are a mentor, some questions may be required for you but optional for mentees, or the other way around. This depends on how your program is set up.

If you try to move forward without answering a required question, Mentorly will let you know which ones still need an answer.

## Which answers appear on your profile

Your program controls whether each answer is shown on your public profile within the program. When an answer is visible, your matched mentor or mentee can see it on your profile page.

Not every answer is shown publicly. Some are used only for matching in the background.

## How to update your answers later

You can change your answers at any time. Your profile is not locked after onboarding.

To update your answers:

1. Log in to Mentorly and go to your personal profile or settings.
2. Look for the **Profile** or **Questions** section.
3. Update any answer and save your changes.

The changes take effect right away.

## Save your session recording on the cloud

1.  Join the call from your dashboard or from your calendar.

2.  During your call, and by clicking on the sub-menu, you'll see a button labeled "Start Recording." Click on this button to begin recording the session. And toggle the "Cloud recording" option. Note that both mentors and mentees can trigger the call recording.

    You'll receive an audible confirmation notifying you that the recording has started. This way, you'll know that everything you discuss is being captured.

3.  After recording your session for a few seconds or for as long as you need, click on the "Stop Recording" button.

    Once again, a voice notification will inform you that the recording has ended.

4.  With the recording complete, you can now conclude your call with your fellow participants.

    Feel free to continue your conversation or address any remaining questions.

5.  Shortly after ending the call, you will receive an email with a link to download the recording. This email will serve as your secure access point to the recorded session, allowing you to revisit the valuable insights and advice shared during your Mentorly experience.

That's it! You've successfully recorded your Mentorly session or masterclass. Now you can easily refer back to the conversation whenever you need a refresher or want to revisit the wisdom shared during your mentoring journey.

👀 **_Good to know: The recording is available for 24 hours from the end of the session. We recommend uploading the downloaded recording to your data storage or uploading it to your Dropbox._**

## Upload your session recording to Dropbox

1.  Join the call from your dashboard or from your calendar.

2.  During your call, and by clicking on the sub-menu, you'll see a button labeled "Start Recording." Click on this button and toggle the "Upload to Dropbox" option.

3.  Log in to your Dropbox account and authenticate your account. Once it's done, click "Start Recording"

# **Fonction Partage d'écran**

Le partage de votre écran lors d'une réunion permet aux autres participants de voir ce qui se trouve sur votre écran. Cette fonction est utile dans les cas où vous devez partager un jeu de diapositives Powerpoint, guider un autre utilisateur sur un site Web ou partager tout autre contenu visible sur votre ordinateur.

Vous pouvez choisir de partager la totalité de votre écran, une fenêtre (navigateur) ou un onglet.

Pour partager votre écran,

1.  Cliquez sur l'icône de l'écran à côté de l'icône de la caméra.

2.  Choisissez si vous souhaitez partager votre écran entier, une fenêtre ou un onglet.

3.  Une fois que vous avez choisi ce que vous voulez partager, cliquez sur **Partager**.

4.  Pour arrêter le partage, cliquez sur arrêter le partage.

# **Salles de discussion**

En tant que modérateurs des sessions vidéo, les mentors peuvent créer des salles de pause pendant les sessions. Ils peuvent créer autant de salles que nécessaire et envoyer les utilisateurs dans des salles séparées. Le mentor a également la possibilité de rejoindre et de supprimer les salles, ainsi que de retirer un individu d'une salle.

## Voici comment procéder :

1.  Un utilisateur doit lever sa main en cliquant sur l'icône de la main. Le modérateur peut également lever sa propre main.

2.  Cliquez sur l'icône de la main jaune en haut de la session vidéo.

3.  Un onglet sur le côté droit de la session apparaîtra avec tous les participants. Cliquez sur "Add breakout room" pour ajouter des salles si nécessaire.

4.  Une fois que le modérateur a créé les salles de réunion, il peut passer la souris sur le nom du participant et cliquer sur les **trois points** à côté de son nom pour envoyer l'utilisateur dans la salle de réunion souhaitée. L'animateur peut également effectuer une recherche par le nom du participant dans le champ "Rechercher des participants".

5.  Pour renvoyer les participants dans la salle principale, survolez le nom de l'utilisateur et cliquez sur les trois points à côté de son nom, puis cliquez sur "Envoyer les participants vers".

## Pour supprimer une salle de réunion :

1.  Passez la souris à côté de la salle de pause que vous souhaitez supprimer. Trois points apparaissent à côté d'elle et cliquez sur "Supprimer".

Bon à savoir : Le mentor est défini comme un modérateur par défaut, mais il peut également donner des droits de modération.

Bon à savoir : Un modérateur peut également rejoindre une salle de réunion en passant la souris sur la salle de réunion qu'il souhaite rejoindre et en cliquant sur Rejoindre.

## **Chat**

Vous pouvez chatter avec votre mentoré ou votre mentor en cliquant sur l'icône de la bulle de message dans le coin supérieur droit de votre écran.

Bon à savoir : L'historique de votre chat est enregistré avec le mentoré/mentor dans vos messages.

Bon à savoir : Vous pouvez télécharger un fichier sur le chat en cliquant sur l'icône en forme de trombone.

Self View

Are you having trouble seeing yourself in a video call?

It's possible that you may have accidentally hidden your self-view. Don't worry, this can be easily fixed by following these steps:

1.  Look for the "Three dots" icon in the video call window.

2.  Click on the "Settings" option.

3.  Click on "More" to expand the options.

4.  Check if the "Hide Self-view" option is turned on or off. If it is on, click to turn it off.

Once you've done this, you should be able to see yourself again during the video call, and use your "Toggle Tile View" to change your video view settings (either you and your mentor side by side, or you in the bottom corner),

Remember, if you want to see yourself, make sure the "Hide Self-view" option is turned off.

## Screen Sharing

Sharing your screen in a meeting **allows others in the meeting to see what is on your screen**. This is useful in cases where you need to share a Powerpoint slide deck, guide another user through a website, or otherwise share content visible on your computer.

You can choose to share your entire screen, window (browser) or a tab.

To share your screen:

1.  Click on the screen icon next to the camera icon

2.  Choose if you'd like to share your entire screen, window or a tab

3.  Once you choose what to share, click on **share**

4.  To stop sharing click on **stop sharing.**

## Chat

You can **chat** with your mentee or mentor by clicking on the message bubble icon in the upper right-hand corner of your screen.

**Good to know:** Your chat history is saved with the mentee/mentor in your messages.

**Good to know**: You can upload a file to the chat by clicking on the paperclip icon.

## Reactions feature

To show your engagement throughout the meeting, we suggest using our reactions feature.

When you click on the hand icon, you can send the other user a clap, thumbs up, smile a gif and so much more.

## **Breakout Rooms:**

As moderators in video sessions, mentors can create breakout rooms during the sessions. They can create as many breakout rooms as needed and send users to separate rooms. The mentor also has the option to join & delete the rooms, as well as remove an individual from a room.

**Here’s how:**

1.  A user needs to raise their hand by clicking on the hand icon. The moderator can raise their own hand as well.

2.  Click on the yellow hand icon at the top of the video session

3.  A tab on the right-hand side of the session will appear with all the participants. Click on **Add breakout room** to add rooms as needed.

4.  Once the moderator has created the breakout rooms, they can hover over the participant's name and click on the three dots beside their name to send the user to the desired breakout room. The moderator can also search by the participant's name in the **Search Participants** box.

To send the participants back to the main room, hover next to the user's name and click on the three dots beside their name, then click on "Send participants to".

**To delete a breakout room:**

Hover next to the breakout room you would like to remove. Three dots will appear next to it and click on **remove**.

**Good to know:** The mentor is set as a moderator by default but can give moderator rights as well.

**Good to know:** A moderator can also join a breakout room by hovering over the breakout room they wish to join and can click on **Join**.

## More Actions

When you click the three dots on the tool bar, you can select more actions.

You can choose to have subtitles, share a video link or an audio. You have numerous background options to select from as well.

In the settings tab, you can see and modify different settings during your video call.

1.  You can see your devices (microphone, video, etc.) settings in the **Devices** tab

2.  You can edit your display name in the **Profile** tab

3.  Change the moderator settings in **Moderator** tab

4.  Edit notifications in the **sounds** tab

Self View

Are you having trouble seeing yourself in a video call?

It's possible that you may have accidentally hidden your self-view. Don't worry, this can be easily fixed by following these steps:

1.  Look for the "Three dots" icon in the video call window.

2.  Click on the "Settings" option.

3.  Click on "More" to expand the options.

4.  Check if the "Hide Self-view" option is turned on or off. If it is on, click to turn it off.

Once you've done this, you should be able to see yourself again during the video call, and use your "Toggle Tile View" to change your video view settings (either you and your mentor side by side, or you in the bottom corner),

Remember, if you want to see yourself, make sure the "Hide Self-view" option is turned off.

Here are our key troubleshooting tips to ensure a smooth video call experience.

# **Permission settings:**

- Be sure to allow access to your microphone/camera by accessing your permission settings of your browser.

  (Examples below are using the latest version of Chrome)

- If your microphone/camera are **internal** (like on a laptop), please head to your **System Preferences** and ensure your microphone **input/output** are properly set.

- If you are using a private work laptop, your company may have restricted your permission settings: it is best to join your video session via a personal laptop.

# **Browser:**

- Close down any other program, app and/or browser that might be using your camera or microphone.

- The following browsers are best supported: Chrome, Firefox, Safari

- To optimize your Mentorly experience, please ensure you are using a recent version of your browser. Older versions may not be supported.

# **1\. Créez votre compte**

Une fois que votre responsable de programme vous a invité à rejoindre Mentorly ou que vous vous êtes inscrit.e, vous recevrez un e-mail vous demandant de vous connecter et de compléter votre compte.

**2a. Commencez votre expérience d'intégration**

Une fois que vous vous êtes inscrit.e, Mentorly vous guidera à travers quelques étapes d'intégration qui vous permettront de commencer à créer votre profil de mentor.e ou de mentoré.e.

Nous vous demanderons de nous parler de vous et de vos expériences, de vos compétences, ainsi que de télécharger une photo de profil et de régler vos paramètres.

# **2b. Questionnaire de jumelage**

Si votre programme a choisi le jumelage pour les paires mentor.e/mentoré.e, vous aurez également un questionnaire de jumelage dans le cadre de vos étapes d'accueil. Remplissez simplement le questionnaire avec les réponses qui vous concernent - plus vous êtes précis.e, mieux c'est !

# **3\. Complétez votre profil**

Une fois que vous avez terminé votre onboarding, vous serez amené à votre tableau de bord personnel Mentorly.

En haut de votre tableau de bord, vous verrez une barre de progression pour l'achèvement de votre onboarding.

En cliquant sur cette case, vous serez d'abord amené à votre profil à remplir, puis à votre questionnaire de programme (le cas échéant).

Dans l'onglet **Profil**, les zones de texte surlignées en bleu clair sont nécessaires pour que votre profil soit complet.

Vous pouvez également ajuster vos paramètres (e-mail, localisation, fuseau horaire) à partir de l'onglet « Paramètres ».

**Bon à savoir:** Mentorly est intelligent en termes de fuseau horaire, ce qui signifie que les heures indiquées sur le site seront basées sur la localisation de votre navigateur.

On the Mentorly platform, you can — book sessions, hold video calls, chat and share files with mentors — all in one place!

# **1\. Set up your account**

Once your program manager has invited you to join Mentorly or you've signed up, you will receive an email asking you to sign in and complete your account.

Follow the link in the email, set up your password, and you're in!

# **2a. Begin your onboarding experience**

Once you've signed in, Mentorly will guide you through a few Onboarding steps that will allow you to start building your mentor or mentee profile.

We'll ask about you and your experiences, your skills, as well as to upload a profile picture and adjust your settings.

**Good to know:** You'll be able to edit this information later on from your personal dashboard.

**Good to know:** Mentorly only allows your profile to be under **one** **sector/industry** (not multiple). However, you can add multiple **areas of expertise**.

# **2b. Matching questionnaire**

If your program has chosen matching for mentor/mentee pairings, then you will also have a matching questionnaire as part of your onboarding steps.

Simply fill out the questionnaire with answers that pertain to you - the more specific the better!

# **3\. Complete your Profile**

Once you've completed your onboarding, you will be brought to your Mentorly personal dashboard.

At the top of your dashboard, you'll be shown a progress bar for completing your onboarding.

By clicking on this box, you will first be brought to your profile to complete, and then your program questionnaire (if applicable).

On your **Profile** tab, the text boxes highlighted in light blue are required for your profile to be complete.

You can also adjust your settings (email, location, timezone) from the **Settings** tab.

**Good to know:** Mentorly is time-zone smart, which means the times indicated throughout the site will be based on your browser's location.

# **4\. Messaging**

Mentorly **Messaging** is a helpful tool discuss your sessions or even share news and files - it keeps all the communication in one place on the platform!

It allows you to communicate with your Program Manager and your Mentor(s).

To get started, click on the pencil next to the search bar (see image below), select your recipient(s), and compose your message.

Participants will receive an email notification for every message sent in Mentorly to ensure they don't miss out on anything.

# **5\. Support**

The **Help** tab will link you to our Mentorly Help Centre, which has a number of articles, all designed to provide assistance in every step of the program.

Mentorly prides itself on its highly responsive customer service and technical support - **our support team is available Monday - Friday, 9am - 5pm EST**.

If you have a designated MSA, simply reach out to them via email with any questions or concerns you may have.

If you do not have an MSA, contact the Mentorly support team by going to the **Help** tab found on your personal dashboard and clicking **Go to Live Chat**.

Once you end the call at the end of your video session, you will be prompted to leave a rating and review for either your mentor or mentee, and the platform. These ratings and reviews are only visible to your Program Manager and Mentorly's support team.

You can view your session history and join your upcoming sessions by accessing your **Sessions** tab on the left hand side of your dashboard.

When joining your call, make sure your browser is allowing access to your camera and microphone. If you have multiple devices for your microphone or camera, you can select which to allow from the drop-down menu.

You can control your microphone, camera, sharing your screen and other settings by the settings bar at the bottom of your screen.

The micro-phone icon is to control your mic.

The camera icon is to turn your camera on/off.

**Chat:**

You can **chat** with your mentee or mentor by clicking on the message bubble icon in the upper right-hand corner of your screen.

You can **report** a call to Mentorly or reach out to our **support** team in the bottom left corner of your screen.

# **Breakout Rooms:**

As moderators in video sessions, mentors can create breakout rooms during the sessions. They can create as many breakout rooms as needed and send users to separate rooms. The mentor also has the option to join & delete the rooms, as well as remove an individual from a room.

**Here’s how:**

1.  A user needs to raise their hand by clicking on the hand icon. The moderator can raise their own hand as well.

2.  Click on the yellow hand icon at the top of the video session

3.  A tab on the right-hand side of the session will appear with all the participants. Click on **Add breakout room** to add rooms as needed.

4.  Once the moderator has created the breakout rooms, they can hover over the participant's name and click on the three dots beside their name to send the user to the desired breakout room. The moderator can also search by the participant's name in the **Search Participants** box.

To send the participants back to the main room, hover next to the user's name and click on the three dots beside their name, then click on "Send participants to".

**To delete a breakout room:**

Hover next to the breakout room you would like to remove. Three dots will appear next to it and click on **remove**.

**Good to know:** The mentor is set as a moderator by default but can give moderator rights as well.

**Good to know:** A moderator can also join a breakout room by hovering over the breakout room they wish to join and can click on **Join**.
